If your team is already using AI, even informally, you need a simple policy.
This does not have to be a giant legal document. For most small businesses, it just needs to answer a few practical questions clearly.
What should the policy cover?
At minimum, define:
- which tools are approved
- what kinds of data should not be pasted into public tools
- when human review is required
- who owns prompt and workflow quality
- how output should be verified before it reaches customers
That alone will eliminate most of the confusion teams run into early.
Keep the rules usable
If the policy is too abstract, nobody will follow it.
Use plain language like:
- do not paste sensitive customer data into unapproved tools
- review all customer-facing output before sending
- verify numbers, dates, and commitments
- use the approved prompt templates when available
The goal is not to slow the team down. The goal is to keep good habits consistent.
Match policy to workflow risk
Not every use case needs the same control level.
Low-risk workflows might include internal drafts, meeting summaries, or SOP outlines.
Higher-risk workflows include pricing, legal language, hiring decisions, or sensitive customer communication. These should have tighter review requirements.
Policy is part of trust
A small business does not need enterprise bureaucracy. But it does need enough clarity that the team can use AI without guessing where the lines are.
That improves adoption because people know what is allowed, what needs review, and what good usage looks like.
Start simple and revise later
Your first AI policy should be short, practical, and easy to change as the workflows evolve.
